ATLAS Scheduler Instructions
Logging in
- Go to www.atlas.illinois.edu & under the SERVICES tab, go to RESERVE ROOMS.
- Scroll down to the box and select the top link: Reserve classrooms
- You will be taken to the ATLAS Scheduler entrance, which lists all of the classroom calendars.
- To log in click on the REQUESTS tab.
- Use your net id & AD password to log in. Don't know your AD password?
Submitting Requests
In ATLAS Scheduler scroll down until you see the section to creat NEW REQUESTS. Submit either a Full semesster or Single Event using the appropriate link: Fall, Spring, Summer 1, Summer 2, Summer 2 first or second half or for the post-Summer & pre-Fall intersession. You will need to supply the follwoing information
- Course info: If this is for a course, please provide the rubric, number and section of your course, or choose Event and slect your department from the drop-down list. You can choose to request multiple sections at once.
- Class size: list how many students you have and how many student computers you need, if any.
- Add meeting time:
- Date: for full term requests the start & end dates of your request should auto-fill to the first & last days of the semester, but you can change them if desired. Also, choose the repeat method if applicable (select every MWF or TuTh, etc.).
- Time: Set the start & end time. (Note: If you enter 8am-9am, we may reset it to 8-8:50 am).
- Click "Add another meeting time" to have to multiple dates/times in the same request.
- Click NEXT when you have included all desired meeting times.
- People: By default you are added as the "Requester" and cannot be removed. If you are not the instructor who will be using the room, please add them in. If you are making this request for comeone else, please add their name in so they will received notices and announcements. Unless you add someone in here, they will not be able to see or modify the request.
- Resource requirements: list any audio / video or software needs you have. Choose the category & sub-category you need. Some software is available in bundles so that you can select several items at once. Click the ADD RESOURCES button to actually add it to the request. Can't find something you need in this list? Use the COMMENTS field to specify software and version number. We require 15 business days (M-F) advance notice to install software.
- Comments: You can make any special comments or requests here (like software you can't find in the resource list).
- Review:you will have a chance to review & edit your request before finalizing it. Editing will take you back to the selected section and lead you through the other sections again as well. When you have provided all necessary information, click FINISH..
- Confirmation: Scehduler will usually be set to automatically notify you that we have received your request. Once we approve or deny it, you will also receive an email with the room assignment or reason for denial.
Using the Calendars
You can also go directly to a room calendar and find out if it is free when you want. There is a link at the top of the page to Create a new request. Please note that while this will allow you to request a specific room, you may be relocated for reasons you may not be aware of--if somone is in the queue ahead of you, if resources you wanted are no longer there, if we think another room would be better-suited for you, or perhaps to provide better support. Once we have confirmed placement, we will not move you unless necessary.
